How Far in Advance Should You Book Your Senior Photos?

If you're the parent of a rising senior, or a senior yourself in the Johnson County, KS, or KC Metro area, you've probably got a mile-long to-do list. Senior photos might feel like something you can figure out later. But here's the truth: later comes faster than you think, and waiting too long can mean missing out on your favorite photographer, your dream location, or even your school's yearbook deadline.

Here's everything you need to know about timing so this part of senior year is no stress, all chill. At Sarah Ireland Photography, we want to make this part of your senior year as easy and as authentic as possible. You're here, you're unique, let's make your session all about you. 

It Depends on Your School, and the Timeline Is Earlier Than You'd Expect

Not all schools have the same deadlines, and that's the first thing to understand.

Private Schools: Book by Late Spring for Fall Delivery

If your student attends a private school in the area, listen up. This one catches families off guard every year. Many private schools request senior photos for congratulations pages and special yearbook features as early as September or October. These aren't your standard yearbook portraits; they're the milestone images families purchase ad space for, submit to the school magazine, or display at graduation events.

That means your photos need to be edited, delivered, and ready to submit before the school year even gets into full swing. To make that happen comfortably, you should be booking your session no later than May or early June and completing the session over the summer months so there's plenty of time for editing and delivery before those early fall deadlines hit.

This applies to students at schools like Notre Dame de Sion, The Barstow School The Pembroke Hill School, St. Teresa's Academy, St. James Academy, St. Thomas Aquinas, Whitefield Academy, St. Pius X, Rockhurst High School, Bishop Miege High School, Bishop Ward High School, Crossroads Prep, Kansas City Academy, The Plaza Academy, Faith Christian Academy, The Daniel Academy, Lincoln College Preparatory Academy, Paseo Academy of Fine and Performing Arts, African-Centered College Preparatory Academy, and Accelerated Schools of Overland Park, as well as any other area private or charter school with early yearbook timelines.

Not sure of your school's specific deadline? Check your school's yearbook page or parent portal, and when in doubt, book earlier rather than later.

Public Schools: Deadlines Come a Bit Later, But Not by Much

Public school seniors typically have a little more breathing room, with yearbook and congratulations page deadlines falling later in the fall or early winter. But "a little more time" doesn't mean you should wait. By the time August rolls around, most photographers' summer calendars are already full.

For public school students, aim to book by May or June and plan to shoot June through August. This gives you beautiful summer light, flexible scheduling, and zero deadline stress.

This includes students at Blue Valley, Blue Valley North, Blue Valley Northwest, Blue Valley Southwest, and Blue Valley West; Shawnee Mission East, North, Northwest, South, and West; Olathe East, North, Northwest, South, and West; De Soto, Mill Valley, Gardner Edgerton, and Spring Hill on the Kansas side. On the Missouri side, this includes Lee's Summit, Lee's Summit North, Lee's Summit West, North Kansas City, Oak Park, Staley, Winnetonka, Park Hill, Park Hill South, Center, Ruskin, Central, Northeast, Southeast, and East High School.

Why Photographers Book Up So Fast

Senior season is one of the busiest times of year for portrait photographers, and the best ones fill their calendars quickly, often months in advance. Here's what drives the rush:

  • Summer is the sweet spot. Long golden-hour evenings, no school schedules to work around, and lush outdoor settings make summer the most popular time to shoot.
  • Everyone wants the same window. Families are all working toward similar deadlines, which means June, July, and August slots disappear fast.

How the Sarah Ireland Photography Calendar Works: 

We list a lot of dates as "available" to give you as many options as possible. They are also competing with the ordering appointment calendar and the studio calendar.

If someone books their Senior Session, then their Ordering Appointment, two slots are gone. 

You might look at the calendar one week and see that there are 6-10 available slots, then look at the same times the following week, and see that the whole week is now unavailable. If you see a date that will work for you, select it and pay your booking fee asap. The time slots do not belong to you until your booking forms and booking fee are complete, which means someone could steal the one you want. We do try to give you a heads up if this situation is about to occur. 

Why do photographers do this? 

The booking fee is part of your total investment. It's standard practice to make sure the time slot is going to someone who truly wants it, since we only have so much time and special windows of light/weather/reschedule times, etc. If someone doesn't show up, someone else has missed their opportunity for their session.  

 


A Simple Timeline to Keep You on Track

Don't Forget These Details When You Book

Once you've secured your session, keep these in mind:

  • Ask about turnaround time. Some photographers deliver galleries in 2 weeks; others take 6 to 8 weeks. If you have a September deadline, that math matters.
  • Plan your outfits early. Ordering online, tailoring, and coordinating multiple looks takes more time than most people expect. When you book, you will get a What to Wear Guide to help you plan! 
  • Choose your location with intention. Popular spots can get crowded in peak summer. Your photographer can help you find the right balance of beauty and accessibility.
  • Communicate your school's deadline upfront. A good photographer will work backward from your deadline to make sure everything is delivered in time.

This is a big deal. 

Senior year is a season, not just a day, and your photos should feel that way too. The earlier you book, the more options you have: more dates, more locations, and more time to enjoy the process without the pressure of a looming deadline.
